Hello EAD Members, First, I apologize for the frequent updates in this unpredictable time with COVID-19. The EAD Board is doing our best to try to maintain EAD as well as try to plan for our next AGM. This update is for the AGM originally scheduled for November 14th, 2020 at 1pm. A few members have brought it to my attention of the most recent updates/imposed restriction announced by the Alberta Government/Alberta Health Services that gatherings with more than 15 people are ...NOT permitted, indoors and outdoors due to rising COVID numbers. ___________________________________________________________________ "Measures: City of Edmonton Mandatory measures (as of Oct. 26) 15 person limit on social and family gatherings - indoors and outdoors - where people are mixing and mingling. This temporary limit will be reassessed at the end of November 2020. It will be lifted when daily case numbers are down and spread is sufficiently reduced. Applies to social gatherings, including but not limited to: banquets and award ceremonies wedding or funeral receptions luncheons or potlucks parties: birthday, baby shower, retirement, dinners, backyard BBQs other private social gatherings and functions" https://www.alberta.ca/covid19-edmonton-zone-public-health- https://edmontonjournal.com//hinshaw-to-give-update-on-cov __________________________________________________________________ So unfortunately, this means that the EAD AGM set for November 14, 2020 is therefore cancelled/postponed. It is likely that we will not be able to hold our AGM until the new year. The Board had discussed options for a special resolution to be approved by all the EAD Members to host our meeting(s) virtually, but not everyone is in agreement. So we will need to revisit setting the AGM on another date/time-when COVID-19 restrictions lessen/lift by the Alberta Government. The EAD Board will also be requesting extensions for all our important legal information that needs to be submitted to AGLC, CRA, and Society Alberta as well as continue to do our fiduciary duties as needed. Good day EAD members, I have an update with you about our Annual General Meeting and Election. As the AGM date is coming closer. Our Annual General Meeting and the Election will still be held on November 14th, 2020 at 1 pm in the Edmonton Association of the Deaf Community Center (parking lot). The agenda is as follows:... 1) Annual Reports from the Board 2) Fiscal Year-End Report/Approval 3) Election of the Board of Directors for the term 2020-2022 4) Special Resolution to hold EAD Meetings/Activities/Workshops Virtually. Please send me an email if you are interested to be part of the EAD Board of Directors. Most of the current Board of Directors is interested in running again for another term, and there are still some vacant positions from before. Also, we need to make a special motion to allow us EAD board members to run any meetings/workshops/socialize held on the ZOOM as virtual meetings. The Alberta Society Acts suggested that we make a special motion with our EAD members to approve this special request to allow us to run any virtual meetings till the COVID-19 pandemic ends and/or when in-person gatherings restrictions lift. Please wear the appropriate weather clothes as the weather should be around -1 to +5 on that day. You can bring your lawn chair and warm weather attire, or stay seated in your car. We will set up the parking lot the best we can. Also, don't forget to bring your mask and hand sanitizer for the meeting, and remember to physically distance from one another. Hello EAD members, I hope all of your Thanksgiving Holiday was great and I know this year's Thanksgiving is slightly different from last year. I hope the COVID-19 pandemic will be over at end of the 2021. It's been a struggle for everyone. We, EAD board members were figuring how we can run the Annual General Meeting & Election during the COVID-19 pandemic. The numbers of cases aren't looking great right now. We figured out that we just can run our Annual General Meeting and... Election at the parking lot by the Edmonton Association of the Deaf Community Centre on Saturday at 1:00 PM by November 14th, 2020. Social distancing is a must. Masks are encouraged. For the EAD members who already paid for last year 2019. You don't have to worry about renewing your membership for 2020 as we extended our membership till 2021. Due to COVID-19. For the people who doesn’t have a membership. You can sign up the membership form by our website https://edmontondeaf.com/join-us Please bring your own mask and hand sanitizer. Why are we required to run the Annual General Meeting? Based on the CRA's requirements, we need to run the AGM within 18 months from our last AGM in May 2019 which we can't extend or postpone our Annual General Meeting anymore due to our charity organization license. Also, we need to submit our financial report before December 31st, 2020. Also, we are looking to fill in our two vacancy EAD board positions such as -Social Director -Treasurer You can send me an email if you are interested in a position to run for the EAD board. We can bring our lawn chairs, warm clothes and hot drinks or drive our cars in the parking lot during the meeting. We will be running our PowerPoint on the screen with our high rise platform stage on the parking lot. It will be a historic moment for EAD to run the AGM outside. You may request a copy of the bylaws 2019, our general meeting minutes and other information if needed. I am hoping that if we will have good weather on that day.
