This is a question I get quite a bit especially from small business owners who are doing their own bookkeeping. A general rule to follow is to review your finances once a month. There are however some things to consider which might lead you to weekly reviews. Do you have a lot of bank accounts and transactions each month? Are you tracking inventory? Are you job costing for customers? ... Start with monthly bookkeeping and see how it goes. You can always adjust... just PLEASE do not wait until the end of each year. This leads to a mess of books that needs deciphering, a big cleanup cost to you (or a time cost to you if your doing it yourself), and you see none of the benefits throughout the year of having sound financials to refer to. It happens... You accidentally use a personal account for a business expense. The good news is that you can still claim it if you record it in your bookkeeping software You can: create a journal entry where you credit your owners equity account, and debit the expense account of the item you purchased (ex: office supplies if it was a staples purchase for pens). ... OR you can simply transfer the exact amount of the expense out of your business account back into your personal one. Make sure you document this with a memo on the transactionAND on your receipt so there are no questions at tax time. If you know you have a ton of business transactions in your personal bank account, I would suggest highlighting them from every month of your fiscal year and getting them entered into your accounting software. You dont want to miss out on claiming these just because you paid for them with the wrong account! DM me if you have any questions on how this works. Do you want to get a loan, start outsourcing, invest into another branch of your business or hire employees? When do you want to do these things and will you have the financial stability to do so? ... Using bookkeeping as a tool (with monthly reporting, budgeting etc) will help grow your business and crush your goals. When you see the numbers each month, think about what you want to see in the future and what decisions will help you get there. I am very aware than financial reporting can be tedious to look at but it is the essence of your business. With all the amazing software we can work with these days, make sure you take advantage of the automation that comes with it. In Quickbooks Online for example, you can set up your bank feeds and they will fetch your transactions AUTOMATICALLY! Then you can set up bank rules which will categorize them AUTOMATICALLY! Hubdoc is a great addition to modern day cloud accounting. Quit shoving your receipts in a shoebox and organize them online. Its as simple as taking a picture of your receipt when you get it. You can then organize them how you like and it will be extremely helpful for communicating with your bookkeeper/accountant (which will save you money ).
